Data confidentiality

Government data accessed during engagements is handled under strict confidentiality agreements. We do not retain, repurpose, or commercialise client data under any circumstances.

Access control

Principle of least privilege applies to all HAPSS personnel. Staff access institutional systems only to the extent required by their specific workstream — no exceptions.

Regulatory compliance

All HAPSS engagements comply with the Nigeria Data Protection Act (NDPA) 2023, applicable procurement regulations, and any sector-specific data handling requirements.

Incident transparency

In the event of a security incident affecting client data, we notify affected institutions within 72 hours and provide a full incident report within 14 days.

Contract clarity

HAPSS engagements are governed by clear written contracts specifying scope, deliverables, data handling terms, and exit provisions. We do not rely on verbal agreements.

Audit readiness

Our financial and operational records are maintained to withstand scrutiny by the Office of the Auditor General, anti-corruption agencies, and donor bodies at any time.

This policy explains how HAPSS (a division of HitchAfrica Technologies Limited, "we", "us", "our") collects, uses, and protects information submitted through this website. It applies to hapssng.com and any forms or communication channels linked from it.


1. Information we collect

When you submit an enquiry or proposal request through this website, we collect:

  • Your name and professional title
  • Your email address and phone number (if provided)
  • Your institution or organisation name
  • The content of your message or enquiry
  • Standard server logs (IP address, browser type, page visited) retained for up to 30 days

We do not use cookies for advertising or tracking. We do not deploy third-party analytics scripts on this website.

2. How we use your information

We use information you submit solely to:

  • Respond to your enquiry or proposal request
  • Assess potential engagement fit and prepare relevant materials
  • Maintain a record of initial correspondence for accountability purposes

We do not use your contact information for marketing, newsletters, or unsolicited communications. Every response we send is directly related to what you submitted.

3. Data sharing

We do not sell, rent, or share your personal information with third parties except:

  • Within the HitchAfrica group — your enquiry may be shared with HitchAfrica Technologies Limited senior leadership where relevant to the engagement scope.
  • Service providers — we use Resend (resend.com) to transmit form submissions by email. Resend processes message content solely to deliver the email and does not retain or use your data independently.
  • Legal obligations — we will disclose information if required by law, court order, or a Nigerian regulatory body with lawful authority.

4. Data retention

Enquiry records are retained for 24 months from the date of last communication, or for the duration of any resulting engagement plus 36 months — whichever is longer. After this period, records are deleted or anonymised.

5. Your rights

Under the Nigeria Data Protection Act 2023, you have the right to:

  • Access a copy of the personal data we hold about you
  • Request correction of inaccurate data
  • Request deletion of your data (subject to legal retention obligations)
  • Withdraw consent at any time

To exercise any of these rights, email hapss@hapssng.com with the subject line "Data Request". We respond within 10 business days.

6. Security

Form submissions are transmitted over TLS encryption. Email notifications are sent via a secured transactional email provider. We do not store form submission data in a public database. Internal access to enquiry records is restricted to senior leadership.
